Who is responsible for your information?

CampScotland is a trading name of Edvardas Pociulevicius, sole trader. Edvardas Pociulevicius is the data controller for information used to answer enquiries, arrange hires and provide detailing services. Information we collect

Depending on your enquiry or booking, we may collect your name, telephone number, email address, collection and return dates, payment records, vehicle make, model, year, body style, registration number, roof type, equipment requirements, service location, messages and photographs you choose to send. We may also keep booking, condition, fitting, damage, repair and communication records.

Why we use it

• To respond to enquiries and prepare quotations.
• To check vehicle and equipment compatibility.
• To arrange, administer and complete hires or detailing work.
• To take payment, manage deposits and keep accounting records.
• To document equipment condition, investigate damage or resolve complaints.
• To protect our equipment, customers and legal interests.
• To meet tax, accounting, insurance and other legal obligations.

Our lawful bases

We normally use information because it is necessary to take steps at your request or perform a contract, because we have a legitimate interest in operating and protecting the business, or because the law requires us to keep it. We do not rely on marketing consent merely to answer a booking enquiry.

Who receives the information?

Information may be handled by service providers supporting our website, email, booking records, payments, accounting, file storage or IT. It may also be shared with an insurer, professional adviser, police, court or regulator when reasonably necessary or legally required. We do not sell customer information.

How long we keep it

Unconverted enquiries are normally kept for up to 12 months. Booking, payment and transaction records may be kept for up to six years after the end of the relevant financial year. Vehicle photographs used only for compatibility are normally removed within 12 months, unless needed for a booking, complaint, damage claim, insurance matter or legal obligation. We may anonymise information instead of deleting it.

Contact forms, email and photographs

The website enquiry form uses Formspree to send the details needed to answer your request and check compatibility. Form submissions are processed on our behalf and delivered to our business email. A separate marketing tick box is unnecessary because the form is used to answer your enquiry, not to subscribe you to promotional messages. Please do not include unnecessary sensitive personal information in a form, email or photograph.

Cookies and website measurements

The current website does not intentionally use advertising cookies or behavioural profiling. Essential hosting and security technology may process basic technical information needed to deliver and protect the site. If analytics, advertising or embedded third-party services are added later, this notice and any cookie choices will be updated first.

International services

Some technology suppliers may process information outside the UK. Where this happens, we will use a provider and transfer arrangement intended to provide the safeguards required by UK data-protection law.

Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, objection or transfer, or withdraw consent where consent is the basis used. Some rights have legal exceptions. Contact us first and we will respond as required by law.

Complaints

If you are unhappy with how we use your information, please contact us so we can investigate. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

Changes

We will update this notice when the booking system, marketing tools, suppliers or information practices change. The date at the top will show the latest version.
